Ghost Lifestyle Streamlines AP Operations With Centime’s NetSuite-Native Automation

“Centime was built specifically for NetSuite, and that made all the difference. We tested it with our most complex invoices during our evaluation, the same ones that would have broken other systems, and Centime processed them flawlessly.”

Why Ghost Moved Off Manual NetSuite Invoice Entry

Ghost Lifestyle has become one of the fastest-growing names in sports nutrition since its founding in 2016. Known for bold flavors and eye-catching branding, the Nevada-based company produces energy drinks, protein powders, and supplements sold in over 40 countries. In 2024, Keurig Dr Pepper acquired a majority stake in Ghost, accelerating the brand's expansion even further.

With around 250 employees and weekly invoice volumes growing quickly, Ghost's lean accounting team needed AP automation that could keep pace. Before Centime, the company relied on manual invoice entry in NetSuite, a time-consuming process that left little room for the strategic work a growing company demands.

“We're a small team, and everyone wears multiple hats,” said Armin. “Before Centime, we had three people dedicated to AP just to keep up with the manual invoice entry. We needed something that could read complex invoices accurately and integrate seamlessly with NetSuite.”

Why Centime: Purpose-Built for NetSuite

Armin evaluated several AP automation platforms, including Ramp and NetSuite's native AP module. While NetSuite offered basic automation, it lacked the functionality and flexibility Ghost needed, and came with a steep price tag. Ramp, meanwhile, pushed its credit card product over existing banking relationships and would not provide a demo without a contract.

Centime stood out immediately. “They were willing to test our most challenging invoices during the demo phase,” Armin explained. “We threw everything at them: invoices with multiple purchase orders, complex line items, multi-currency transactions. Centime handled it all.”

The platform's native NetSuite integration was the deciding factor. Unlike other solutions that required managing a separate system, Centime embedded directly into Ghost's ERP, eliminating duplicate data entry and reducing implementation friction.

Implementation took just one meeting to set up system links. The only complication was a quirk in NetSuite's hierarchical structure that caused items to populate across all subsidiaries, which required a full re-sync. Centime's team resolved it quickly.

“The support was excellent,” Armin said. “Anytime we ran into something, they responded fast and fixed it.”

90-95% Capture Accuracy From the Start

After about a year of using Centime, Ghost's AP process runs at 90-95% accuracy for bill capture and invoice processing. The system learned Ghost's workflow after processing just two to three invoices, and now distinguishes between similar vendor names without issue.

Centime automatically reads invoice numbers, line items, and PO numbers, then matches them to the correct purchase orders in NetSuite. For invoices with multiple POs, the platform significantly reduces the number of bills compared to manual processing.

“It's not just faster, it's more accurate,” Armin said. “My staff accountant is meticulous, and she hasn't flagged any major errors since we started using Centime.”

How Centime Handles Multi-Currency, Multi-Subsidiary AP

Ghost operates with multiple subsidiaries and processes invoices in different currencies. Centime automatically routes invoices to the correct subsidiary based on billing information, eliminating manual sorting.

The platform also includes immediate notifications if an emailed invoice fails to process, so errors get caught right away. While Ghost has not yet moved payments into Centime, Armin sees great potential there as well.

“We manage cost allocations through custom classes in NetSuite, and Centime fits right into that,” he said. “We're not using the payment feature yet, but it's on our radar.”

Flexible Approvals Without NetSuite Licenses

One of Centime's biggest advantages is that its approval system does not require NetSuite licenses. Ghost tested the electronic approval process and found it intuitive and easy to navigate, far simpler than their previous workflows.

“We haven't fully rolled out approvals yet because we're waiting on direction from Dr Pepper,” Armin explained. “But we tested it with our directors, and they found it way easier than what we had before.”

The unlimited licenses also give Ghost flexibility to scale approvals across departments without worrying about per-user costs.

AP Run by One Person Instead of Three

Before Centime, Ghost's AP team spent hours each week uploading invoices, coding vendors, and chasing down approvals. Now the process is streamlined to the point where one person handles everything efficiently.

“We went from three staff members managing AP to one,” Armin said. “That's not just efficiency. It's proof that the system works.”

The time savings go beyond data entry. Centime's automation has freed up Ghost's accounting team to focus on higher-value work like reconciliations, financial analysis, and supporting the company's rapid growth.

Why Ghost Chose In-House Over Outsourcing

For a company Ghost's size, keeping AP in-house made sense, especially with the right tools. “We could have outsourced, but that comes with its own costs and complexity,” Armin explained. “With Centime, we get the benefits of automation without losing control or visibility.”

Armin also appreciated Centime's responsiveness. “They listen to feedback and iterate quickly. When we asked about features like amortization integration or AI-powered accrual notifications, they took notes and followed up.”

Is Centime Cheaper Than NetSuite's Native AP Module?

Compared to NetSuite's native AP module and other competitors, Centime delivered more functionality at a lower cost. “The pricing was upfront, and there were no surprise fees,” Armin said. “It's actually cheaper than we thought it would be.”

For Ghost, Centime is a foundation for sustainable growth. As the company expands its product lines and global footprint under Keurig Dr Pepper's ownership, having a scalable, accurate, and efficient AP process will be critical.

“Centime is fast, efficient, and it just works,” Armin said. “For a company our size with our complexity, it's exactly what we needed.”
